Description

The Supplies tab allows you to track and manage supplies that may be shipped to clients (not reagents or supplies used internally at your facility); create one or more warehouses, the locations used to send and receive these supplies; and define shipments, which are lists of supplies that need to be sent to a client.

Note

Users with limited rights (or who are outside the system) may also view past supply requests using the Client Services Request link in the System Defined Links section of your system's main navigation pane.

Viewing the Supply List

By default, the Supplies tab displays all of the supplies associated with all of the warehouses in the system. The supplies are listed with their Name, Active status, Client Services Only value, Count, and if there is a Kit. Select the column headers to sort the list of items by the selected column.

Inventory For

This limits the displayed supplies to those that have been shipped to or shipped from the selected warehouse. Select in the field or use the search icon to search for and select a warehouse. Select the X to clear the field.

You may create warehouses and set the warehouse selected by default on the Setup tab of the Client Services page.

Only show Supplies present in the selected WarehouseSelect to narrow the list of supplies to those currently available to ship.
Supply NameTo narrow the list by name, enter one or more characters in the field. Your system automatically updates the list to display only those that match your entry.
Active onlySelect to show only active supplies in the list.
Limit to Client Services SuppliesSelect to only show supplies in the list if they are marked as Client Services Only on the Tube/Container Types page. Select the drop-down list underneath the Limit to Client Services Supplies option to select Show all Supply typesShow Kits only, or Do not show Kits depending on your preference.
Options

Select the button to open a menu of additional tasks for creating, receiving, moving, and shipping supplies. The options include:

Show Expiring Supplies

Select to open the Expiring Supplies Report pop-up to view supplies that are going to expire. The table displays the supply, lot, clients that have received the lot, and the expiration date/time.

  • Only show supplies that will be expired in ___ days: Enter a value in the field to limit the range of expiring supplies. The default value is three days.
  • OK: Select to close the pop-up and return to the Supplies tab. 
Clear FilterSelect to return to the full list of supplies for all warehouses.
Show __ entriesIf there are multiple pages of supplies, use the paging controls at the top or bottom of the list to navigate through the list, either by selecting the arrow buttons (forward, backward, beginning, end) or by entering a specific page number. Adjust the Show __ entries value to increase or decrease the number of supplies to show per page.
NameSelect the supply's name link to modify the supply's settings in the Edit Supply pop-up. See the "Editing Supplies" section below for more information. 


Editing Supplies

Select the name of a supply item to open the Edit Supply pop-up, where you can modify the supply's settings. 

NameUse the field to edit the Name of the supply.
Count TypeEnter the name that represents what a single instance of this supply would be called (e.g., slide, cup, tube, etc.). This field can also be configured on the Tube/Container Types page. The Count Type field represents the smallest unit for the supply. The text entered should represent what a single instance of the supply would be called. For example, slides.
ActiveSelect to indicate the supply is active in the system.
Client Services OnlySelect to limit the usage of the selected tube/container type to the Client Services module. When selected, this supply type will not appear anywhere in your system except the Client Services module.
Orderable Client Services SupplySelect to control whether or not the container shows up as a supply on the Supply Request or Supply Shipment pop-ups. When enabled, the supply is available on the external Supply Request pop-up from Quick Links and on the Ship Supplies pop-up within the Client Services module.
Restricted to Clients

Select to open the Restricted to Clients pop-up to allow a supply to be restricted for use by selected clients only. The pop-up displays a multi-select search-as-you-type field to search for specific clients in the system. Clients that are selected on this pop-up will be the only clients able to be shipped that supply from the Ship Supplies pop-up, which is accessible from the Edit Item pop-up, the Routes tab, and the Supplies tab.

  • Save: Select to save the specified clients.
  • Cancel: Select to close the pop-up without making any changes. 
LotsThe list displays all of the lots that contain the selected supply, listed per warehouse. Each lot is listed with its ID, Expiration Date, and Count. Select the column headers to sort the list of lots by the selected column.
  • ID: Select the ID's link in the ID column to open the Edit Lot pop-up, where you can modify the lot's information. See below.
  • Display count for: Select in or enter text into the search-as-you-type field to select the appropriate warehouse. You can also select the Search icon to search for and select a warehouse. Your system narrows the displayed list to the lots stored at the selected warehouse. Select X to view the count for All Warehouses.
  • Add Lot: Select to open the Edit Lot pop-up, where you can enter the information to create a new lot. See below.


Edit Lot pop-up

  • Lot #: Enter or modify to identify the lot that contains the supply. This field is required.
  • Default: Select to configure a client services supply's lot as default. When a supply's lot is configured as the default, it will automatically be selected when adding a kit that includes that supply or when creating a new shipment with the supply on its own. When saving a lot with the checkbox selected, all other lots configured for the same container type set in the supply will have their Default checkbox disabled.
  • Notes: Enter descriptive information in the field, if desired.
  • Expiration: Enter the date and time of the expiration. Select Now to enter the current date and time. 
  • Do not include the Lot on Expired Supply reports and alerts: Select to have the pop-up and any configured event alerts to not include the specified supply.
  • Save: Select to save changes and close the pop-up.
  • Cancel: Select to close the pop-up without saving any changes. 
SaveSelect to save changes and close the Edit Supply pop-up.
CancelSelect to close the Edit Supply pop-up without saving changes.
