Description

Use this pop-up to target high-volume microbiology culture processing, organism identification, and testing. This provides the users the ability to order and result multiple matching cultures simultaneously that have the same testing steps involved.

Batch Workup

+ Add/Edit Cultures

Select to open the Batch Add/Edit to Microbiology Work Card pop-up, where you can add isolates, culture-level observations, and culture-level tests. You can also issue reports in batch. See below for more information on the different parts of the pop-up.

+Isolate: Select the button to add a culture-level Isolate section to the work card, where you can enter results (same as on individual work card processing). In the Isolate section, you can add a common isolate across all selected cultures. These will have the same organism quantification results (colony count or growth), identified organism, and media observation applied to all impacted cultures. 

  • Select an organism from the Organism search-as-you-type field.
    • As you type in this field, the system will display organism class hierarchies in each row of the search results. Select the hierarchy arrow or use the left and right arrows on the keyboard to expand and collapse organisms in the hierarchy. Use the up and down arrows on the keyboard to highlight the next element in the hierarchy. Use the shift plus up and down arrows on the keyboard to move to the next and previous row in the search results, which is also the next and previous class. In the search results, the organism link displays the organism's display name followed by its abbreviation in parentheses. Select the organism's link or press enter on the keyboard to select the organism and close the search results.
    • As you type in this field to search, the system will search through the organism's abbreviations and display names for the typed text. If the typed text matches the organism abbreviation exactly, that organism will be highlighted automatically. This allows you to type the organism and quickly select it.

      Each class in the organism hierarchy displays a maximum of five child genera at a time. Each genus displays a maximum of five species. If there are more than five genera or species, select the ... (ellipsis) to display the next or previous five items. You can use the up and down arrows or the mouse scroll wheel to move through the hierarchy.

  • Enter a description of the organism in the Description field for each media, if necessary.
  • Use the Isolate Components search-as-you-type field to search for and select isolate components to add to the table, which displays columns for the component's Name, Sample ID, MRN, and Isolate #. When a biochemical test is ordered under the isolate, the selected cultures are listed so you can individually result the same test as needed. Multiple tests can be done at the same time on the selected batch of cultures and will be arranged by the test ordered. 
  • Select a Workup Status from the drop-down list to indicate where the isolate is in the workup process. Select either In Process, Complete, or Not Clinically Significant
  • Select the flag icon in the Abnormal column to flag the isolate as abnormal. The flag will turn red.
  • If the selected organism is flagged to report to public health agencies (AdminCenter > Order Choice Setup > Public Health Agency > Organisms tab), a red cross-hairs icon displays in the isolate section header. This applies when the public health agency record includes the selected organism, and the other public health agency factors, such as facility, department, order choice, and sample type, apply. If the organism’s parent genus or class is selected on the public health agency record, public health reporting still applies to the organism. 

+Observation: Select the button to add a culture-level Observation section to the work card, where you can enter results (same as on individual work card processing).

  • Use the Text field to enter your observations for all selected cultures. For example an observation for a stack of urine cultures might be, "No growth at 24 hours."
  • Select the flag icon in the Abnormal column to indicate that the culture is abnormal. The flag will turn red.

+Test: Use the search-as-you type field to search for and select a test to order on all selected cultures to be resulted. After you add the test, you can input the results, select the instrument, and flag as abnormal as needed.

  • Use the Testing Instrument drop-down list to select an instrument to conduct the test.

Workup Status: Displays where the isolate is in the workup process.

Modified By: Displays the user who last made changes to the component.

Abnormal: Select one of the following from the drop-down list:

  • Multiple Flags: Displays by default when a combination of normal, abnormal, or critical exist on the culture. Leave this value to keep the flags as they are.  
  • Override to Abnormal: Sets the abnormal flag on all the isolates, culture tests, and culture observations in the batch.

Save: Select to Save any new data made on the pop-up for all selected cultures.

Save and Issue Report: Select to save any new data added on the pop-up and issue a report for all selected cultures. The system opens the Batch Issue Reports pop-up, prompting you to select a report type, such as Preliminary or Final, prior to issuing the reports. After selecting a report type from the Select report type to automatically issue field, select Issue Report to continue issuing the reports. If you select Cancel on this pop-up, the system saves the new data but does not issue the reports.

Bulk Actions

Select to open a selection menu with two selections:

  • Add Media: Opens the Batch Add Media pop-up.
    • Use the Media to Add search-as-you-type field to search for and select media to add to the selected cultures.
    • Select the optional Sub-Media checkbox to enable the Parent Media search-as-you-type field, which allows you to search for and select a parent media to add the new media container under.
  • Print Label(s): Opens the Print Labels pop-up, where you can print labels for multiple cultures or media simultaneously. See Print Labels.
BatchDisplays the batch icon. Select the icon to select the cultures that can be worked on in batch.
PatientDisplays the patient's name. Select the blue link to open a menu selection.
Sample IDDisplays the sample ID. Select the blue link to open a menu selection.
Isol #Displays the isolate number.
Isolate OrganismDisplays the isolate organism.
Order Choice AbbrDisplays the order choice abbreviation.
Draw DateDisplays the draw date.
Collected By IDDisplays the ID number of the person that collected the batch.
Collection LocationDisplays the collection location.
Sample TypeDisplays the sample type.
Source SiteDisplays the source site.
Culture FlagDisplays a flag icon for that specific culture. If a culture-level flag appears, the flag icon will be red.
Horizontal Ellipses

Select to open a menu with the following options:

CloseSelect to close the pop-up without saving any changes.


Microbiology Batch Workup Bar Code Scanning

Scan bar codes on the Microbiology Batch Workup pop-up.

Only rows that can be batched together on the table can be selected. The first row selected displays any rows that cannot be batched with it. This functionality applies to manual selections and bar code scanning.

When a row is selected, the next scanned ID is only selected if it can be batched together with the first selected row. If the scanned ID cannot batch with the first selected row, the scanned row flashes red and users will hear a beep. If the scanned ID can be batched with the first selected row, it flashes yellow and can be selected. All rows that match the scanned ID are selected if they can be batched with the first selected row. If the scanned ID matches a set of rows where some of those rows can be batched, but not all, the rows that can be batched are selected.

When no rows are selected, the first scanned ID selects all rows if those rows can be batched together. If the first scanned ID matches a set of rows that cannot be batched together, the Bar Code Conflict pop-up is displayed.

When no rows are selected and the scanned ID is an Order ID for an order with more than one microbiology order choice, the Bar Code Conflict pop-up appears. This scenario displays the patient name only in the header.

A culture with multiple isolates will appear more than once on the Microbiology Batch Workup pop-up. If the sample ID for the culture with multiple isolates is scanned, the Bar Code Conflict pop-up appears. This scenario displays the sample and patient information. 

When a bar code is scanned for a sample ID that does not match any of the sample IDs on the Microbiology Batch Workup pop-up, the Unknown Scanned ID pop-up appears accompanied by an audible alert indicating that none of the order choices in the data table correspond to the scanned value.
