Description

Use the Collect Samples page to record collections, reject samples, and access the ABN form, patient questions, label printing, requisition(s), collection lists, and order comments. 

By default, the system displays the patient's orders with an order date/time up to one day into the future. However, the System Administrator can modify the system default settings to increase the limit for the number of days in the future to display orders. 

At the time of collection, the system determines if an order request message has been already sent. If it has not but should have, the system will send an order request message at the time of collection.

Access

  • TaskCenter > Manage Samples > Collect Samples 
  • Select Collect Samples on the Order Patient SamplesDemographicsInsurance, or Order History pages.
  • Select the Order ID of the desired order on the Collection List page.
  • Select the Order ID of the desired order, then select Samples in the pop-up on the Location InboxUser InboxPending CollectionOrder HistoryCreate Manifest, or Find Patient or Order pages or the Lab Orders page.
  • Select the name of the desired patient, then select Collect Samples in the pop-up list on the Find Patient or Order page or the Lab Orders page.
  • Select the Options link next to the DemographicsInsurance, and Order History links at the top of the DemographicsInsuranceOrder HistoryCollect SamplesFind Patient or Order, and Order Patient Samples pages, and then select Collect Samples.
  • Select Mark Collected on the Match Results page.
  • Depending on the system-wide administration settings, this page may appear automatically after you select Save on the Order Patient Samples page.
  • Scan a patient or order bar code while the default page when scanning setting on the System Defaults page is set to open the Collect Samples page.

Patient Search

Patient

Use this search-as-you-type field to select the name of the patient with the outstanding sample collection you wish to view. See the Orchard Enterprise Basics topic.

  • If you selected a patient in another page before opening this one, that patient's order history is shown, unless the setting to clear the current patient when changing pages is enabled on the Application page or the Users page. 
  • If you opened this page from the Order Patient Samples page, only that order's samples are displayed. Select the show all uncollected orders for this patient link to view all the patient's uncollected orders.
  • If you did not find the correct patient in your search, you may need to create a new patient record. See the Demographics topic.

Note

When the administrative setting to skip collection is set for an ordering location, the system automatically sends orders to the host testing location when they are placed. Because you do not need to collect samples for these orders, the system does not display them for selection when you search for samples to collect.


Note

Depending on user and system default administration settings, the system may display or restrict patients visible to your associates during your patient or order searches.

Show Advanced Search

Select this checkbox to filter by specific information: 

  • Patient Last Name
  • Patient First Name
  • Patient Sex
  • DOB
  • Patient ID
  • Patient ID 2
  • Patient ID 3
  • Patient SSN
  • Encounter ID
SearchSelect this button to search based on the entered search criteria.
Clear FilterSelect this button to clear all text from the fields.
Query Practice Management SystemSelect this button to perform a query on the practice management system on the Collect Samples page filter.
Current Collection Location

Enter text or select in this search-as-you-type field to select the collection location, if needed. Based on the location administration settings, the system selects the appropriate collection location by default.

Select the search icon to select a different location.

Current Collector

Enter text or select in this search-as-you-type field to select the user who collects the samples. Select the search icon to select a different user.

Note

The system determines the default value for this field according to the following hierarchy:

  • The collector from the Order Patient Samples page, if available and if all orders use the same collector.
  • If not, it displays the collector based off the hierarchy configured in the collection location's Manage Samples Settings tab.


Note

The collector must be associated with one of the practices your location is associated with and they must have been previously selected as the collector for an order.

If you are a system clinical user, all collectors will appear.

RefreshSelect this button to clear all collected samples from the list.


Demographics

The system displays the selected patient's name, age, and patient ID at the top of the page once the patient is selected.

You may modify demographic and insurance information; review the patient's order history; or place an order, collect samples, print a blank requisition, or print labels by selecting the links listed below.

Demographics

Select this link (or press Alt+U) to view or modify the patient's demographic information. See the Demographics topic.

Depending on the settings on the Application page or the Users page, this page may appear in a pop-up so you may easily view or edit patient information without leaving the Collect Samples page.

Insurance

Select this link (or press Alt+I) to view or modify the patient's insurance information. See the Insurance topic.

Depending on the settings on the Application page or the Users page, this page may appear in a pop-up so you may easily view or edit patient information without leaving the Collect Samples page.

Order HistorySelect this link (or press Alt+O) to view the patient's order history or edit an order. See the Order History topic.
Options

Select this link to open a contextual menu and select the action you wish to take for the selected patient: 

  • New Order: Place an order for the patient on the Order Patient Samples page. 
  • Collect Samples: Collect samples for all orders for the patient that are ready for collection. 
  • Blank Patient Requisition: View or print a blank requisition from the View PDF page. 
    • When creating blank requisitions, the system attempts to use the format selected for your signed-in location, if available. If not, the system uses the system default format. If the location's format is set to use the system default, and if the system default format is set to None, the system disables access to create blank requisitions.
  • Patient Labels: Print the system default patient-type labels. 
  • Change Log: View the change log for the selected patient on the Change Log page, if you have the rights to do so. 
show uncollected orders for linked patients/do not show uncollected orders for linked patients

Select this link to view or hide uncollected orders for linked patients. The system default setting for linked patients determines whether the linked patients are shown by default.

Note

This link only appears if the patient has linked patients and they have uncollected orders.

If you choose to view a single requisition, the system will not show linked patients, regardless of the system default setting for showing linked patients.


Sample List 

The list of samples that need to be collected for the selected patient displays beneath each order ID.

The samples are listed according to the order ID with which they are associated. Within an order ID, the samples are listed sequentially by sample ID. If the order was saved as a standing order (multiple occurrences of the same order), an "(S)" will appear next to the order ID.

Sample List Buttons

Order ID

Select this link to open a contextual menu and select the page you wish to open for the selected order. Note that some options may not be available.

  • Review Order: Select this option to view the order on the Order Patient Samples page. See Order Patient Samples.
  • Samples: Select this option to collect samples for the order on the Collect Samples page.
  • Labels: Select this option to print master and tube labels on the Print Labels page. See Print Labels. Note that this option may be disabled depending on the administration settings for your signed-in location.
  • Requisition: Select this option to print requisition(s) for the order on the Requisition(s) page. See Requisitions.
  • Change Log: Select this option to view the change log for the selected order. See Change Log. Note that you must have the necessary security right to access the Change Log page.
  • Lab Report: Select this option to create a lab report of the order on the Lab Report page. See Lab Report.
  • Work in Progress: Select this option to open the selected order in a temporary tab in Work in Progress, where all the information related to the selected order is listed.
Billing Problem

If the lab account number for billing is invalid, this link appears next to the order ID. Select this link to open the Order Patient Samples page to select a valid account number. See Order Patient Samples.

Note

If you mark a sample as collected when there is still an outstanding billing issue, the system logs an exception and places the order choice(s) on the Order Exceptions Report. See Order Exceptions.

Expected Collection Time

This field displays the time entered in the Timing fields during order entry.

Note

If a result message does not contain a collection time, the system displays the current date and time.

ABNSelect this button to navigate to the ABN Status and Print page to print ABNs for the order. 
Labels

Select this button to navigate to the Print Labels page to print master or tube labels for one or more order choices in the order. See the Print Labels topic.

This link may be disabled, depending on the administration settings for your signed-in location.

Note

To print labels, you must have a label printer attached to your system and the necessary label printing application installed. Contact your System Administrator for help setting up label printing.

Requisition(s)Select this button to navigate to the Requisition(s) page to print requisitions for the order. See Requisitions.
Add to Collection List

Select this button to navigate to the Collection List Search page to add the order to a collection list. 

Note

When the administrative setting to skip collection is set for an ordering location, the system automatically sends orders to the host testing location when they are placed. Because you do not need to collect samples for these orders, the system does not include the samples on the collection list, even if you select the Add to Collection List button.

Print Labels

Select this button to to print labels for samples in the order.

When printing labels, the system generates tube labels for all newly collected samples and generates summary and lab labels according to the current label printing configuration.

Fasting


Hours

The system displays the Fasting and Hours fields unless they are disabled for your signed-in location. If they are available, you may select NoYesUnknown, or N/A from the Fasting list to indicate whether fasting is required for the current order.

If you select Yes, enter the number of hours the patient fasted before submitting the sample in the Hours field.

Select Save to record the changes to the fasting values.

Split OrderSelect this button to open the Split Order pop-up.
Update InsuranceSelect to update the patient's insurance.
Re-routeSelect to re-route the order choice. 
Comments

Select this button to view, add, edit, or delete comments for the order using the Order Comments Pop-up.

Note

If there are comments for the order, the button text is italicized.


Sample List Columns

Collected

After you collect a sample from a patient, you should mark the sample as Collected in the system. This prevents duplication on a future collection list.

Select one or more Collected checkboxes to mark the sample(s) as collected. You may select the Collected column header to mark all displayed samples as collected. Scanning the tube/container bar code will also select the Collected checkbox associated with the scanned sample.

Note

If there are outstanding issues such as an unsigned ABN, unanswered patient questions, or missing billing information, you will be prompted to correct the problems when saving. If you choose to continue with incomplete ABN, patient question, or billing information, an exception will be logged and the order(s) will appear on the Order Exceptions Report. See Order Exceptions.

Depending on the administration settings for the host interface and the practice to which the patient belongs, marking the sample as Collected may trigger a billing event.

Collection Date/Time

Change these fields, if needed.

Select Now to change these fields to the current date and time.

Once you select Save, the system updates the Collection Date/Time fields to the current date and time as long as you did not manually edit the date or time.

Note

Once you save the samples marked as Collected, you cannot edit the collection information.

Sample IDThis column displays the sample ID.

Select the ellipsis button to open the contextual menu and select an option:

  • Sample Inquiry
  • Transfer
  • Dispose
  • Order
  • Patient
Tube/ContainerThis column displays the tube/container.
Storage TemperatureThis column displays the storage temperature.
Protect From LightThis column displays "Yes" or "No" to indicate if the sample should be protected from light.
InstructionsThis column displays collection instruction for the sample, if configured.
LabThis column displays the lab where the sample will be tested.
Order Choices

This column displays abbreviations of the order choice(s) that will be tested on the sample and their priority.

This column also displays an X that can be used to cancel the order choice.

If more than one order choice is associated with a sample, the Split button becomes visible allowing a user to split the order choice onto a separate order.

Uncollect

Select the arrow button in this column to reverse the collection of a sample. This column and button only appear if you have the necessary right associated with your assigned role.

When you uncollect a sample, the system:

  1. Prompts you to enter a reason for uncollecting the sample(s) on the Uncollect Order page. See the Uncollect Order topic. Once you uncollect a sample, the system displays a Reason link in the Uncollect column. Select this link to view or edit the reason the sample was uncollected. This link is only visible while the sample is in an uncollected state.
  2. Has text shortcuts functionality. For more information on using text shortcuts, navigate to the Using Text Shortcuts topic.
  3. Discards the data stored for collector, collection time, and collection location, and it cancels the fact that it has been put on a manifest.
  4. Sends out a cancel message for associated order choices if the lab accepts that type of message.
  5. Marks any original billing files as Superseded and creates a credit file if a billing record had been created when the sample was marked collected.

Select Save to record all changes.

Reject

Select the X button in this column to access the Reject Sample page. 

To reverse the rejection, select the click here link the system displays in blue. This link is available as long as the order is on the Collect Samples page.

Collection LocationThis column displays the collection location.
PriorityThis column displays the priority for order choices being tested on the sample. If the order choices associated with the sample have different priorities, the highest priority will be displayed.
CollectorThis column displays the collector name.
StatusThis column displays the status of the sample.


Footer Buttons

Save

Select this button once you have completed collecting all the samples for the selected patient. The system saves the changes and clears the page.

If the sample is part of a standing order and you just collected the last samples for the last order in the series, the system prompts you to print a summary of the newly finished standing order. Select Yes to print the standing order summary.

Discard ChangesSelect this button to remove all unsaved changes.
