Description

Use the Result Delivery page to set up how results are delivered to you and others. Some of the information in this page is set up by the Orchard Administrator when your account is established. You may only modify the information as described below.

Selecting Result Recipients (Provider Accounts Only)

Note

This section of the page is only available for users designated as providers.

When I am the ordering provider for an order, deliver that order's results to

Ordering ProviderBy default, the checkbox is selected. This indicates that the user, as the ordering provider, should always receive a copy of the results. Clear this checkbox if the user/ordering provider should not receive a copy.
Primary Care ProviderSelect the checkbox to send a copy of the results to the patient's primary care provider (PCP). The primary care provider must have a user setup in the system in order to receive results. If the patient's primary care provider is the ordering provider, the program only sends one copy of the results.
Other

Select the checkbox to select another person to receive copies of the order's results.

  • Search: Select the magnifying glass icon to view a list of all users who match your search in the User Search page. See the User Search topic.
  • Effective: Select the checkbox to enable the Start and End date fields. When these dates are filled in, the user you selected in the Other field will only be delivered reports when the report is received in the effective date range.
SaveSelect to record all changes.

When I am the primary care provider for a patient, deliver that patient's results to 

MyselfSelect the checkbox to indicate that the user, as the primary care provider, should receive the patient's results.

When I am the referring provider on an encounter associated with an order for a patient, deliver that patient's results to 

MyselfSelect the checkbox to indicate that the user will be added as a result recipient on the order if they are the referring provider for the encounter linked to the order.


Establishing Result Delivery Methods

In the Email Settings section of the page, you may configure how the result email is set up. 

PDF Encryption PasswordEnter the password you'd like to use to open and view PDF results. The maximum password length is 32 characters.
Subject Line

Enter in the text box the text you would like to display in the subject line of the result email sent.

Use the Subject Field Codes drop-down list to select a field code to insert into the Subject Line text box. When you select a field code, the code automatically populates into the field. Select from the following options:

  • First Name
  • Middle Name
  • Last Name
  • Primary Physician Full Name
  • Sample ID
  • Owner First Name
  • Owner Last Name
  • Order ID
  • Unique Sample ID
  • Patient Name
  • Collection Date
  • Received in Lab Date
Email Body

Enter in the text box the text you would like to display in the body of the result email sent.

Use the Subject Field Codes drop-down list to select a field code to insert into the Email Body text box. When you select a field code, the code automatically populates into the field. Select from the following options:

  • Sample ID
  • Unique Sample ID
  • Order ID
  • Inbox URL
  • Ordering Location
  • Patient Name

In the How I Receive Results section of the page, you may select how you receive results that are sent to you.

Suppress system-generated report content if all results are linked documents

Select the checkbox to have the program remove the system-generated portion of a patient report if all of the results being reported are linked documents. This setting applies to the currently selected user; however, you may also assign this setting at the location level for all users or at the system default level for all external recipients (non-program users added to orders using Results To on the Order Patient Samples page).

  • When a reportable order choice has the setting "Suppress HL7 results on reports" disabled and is resulted with only linked documents, treat those results as if they are not linked documents: Select this checkbox to have the system treat a linked document result for an order choice that has the setting disabled (not selected) as if it were resulted with a normal (non-attachment) result. This checkbox becomes enabled when the Suppress system-generated report content if all results are linked documents checkbox is selected.
Select this checkbox to force each order choice to be separated onto their own page on a patient report. This setting only applies to this user. This setting is also available at the location level.
Delivery Method

Depending on your facility's capabilities and the administration settings, you may choose one of the following methods for result delivery. You can only modify the delivery methods available for you. The program only displays the delivery methods that are enabled in the System Defaults administration page.

Note

If the Inbox delivery method is utilized, results will be sent to your account (User Inbox).

If other methods are available, you must have the necessary numbers/addresses entered in your contact profile in order to receive results that way. If you do not have the necessary account information, the program displays fields next to the method name that allow you to set up the required information.

  • Inbox: Select to send results to the a user account via User Inbox or Location Inbox 

  • Email: Select to send results to the specified email address.  
  • Fax: Select to send results to the specified fax number. 
  • RAPS: Select to send results to a RAPS (remote printer service). 
  • Direct Printing: Select to send results as PDF documents to a specified printer. 
  • HL7: Select to send results to a host system via HL7. 
  • Direct Dial: Select to send results to a direct dial number.
Use

Select an option to determine how to use the delivery method you selected: 

  • Use System Default Settings: Select to use the settings established on the System Defaults administration page.
  • Use These Settings: Select to use the settings established on this page.
  • Delivery Method Not Used: Select to stop using this delivery method. 
Delivery Destination

Enter or select the email address, fax number, RAPS printer, direct printer, host, or direct dial number to which the program should deliver the results when using the selected delivery methods.

  • An Email Address: Select or begin typing in the field to enter an email address where the system will send results.
  • A Printer: For RAPS and Direct Printing deliveries, enter one or more characters in the A Printer search field and select Search (magnifying glass icon) to select a printer from either the RAPS Printer Search or Direct Printing pages. See the RAPS Printer Search or Direct Printing topics. The user must be assigned to a practice that is set up in a RAPS account and the user's practice association must be saved before the RAPS delivery method is available.
    • Select Use Cover Page to have the system include a cover page with results sent via RAPS. Select No Cover Page to tell the system not to include a cover page with results sent via RAPS. The system default setting to use cover pages must also be enabled for this option to take effect.
  • Set: Select the Set button to establish your entry, if the button is available on your selected delivery method.
  • A Host: Select a host from the drop-down list to define which host the program will deliver results to via HL7. Depending on the settings on the Hosts administration page, the program will refrain from sending the host an HL7 message if all order choice results to be sent are attachments. Note that when an EMR HL7 host is added that has rules for sending results, the user result delivery schedule set here overrides the host result delivery schedule. If you are not using system default delivery rules, select the name of a Delivery Method to modify delivery schedules in the Delivery Scheduling page. You may not modify methods defined as default or that are from the System Defaults administration page.
Report Engine/External Report

Select Internal to use the system's Layout Templates to generate patient reports. Select External to use SQL Server Reporting Services (SSRS) to generate patient reports.

Note

These columns only display if your system is licensed to use SQL Server Reporting Services. 

Append Reportable Order Linked Documents/Append Reportable Patient Linked Documents    

If a delivery method uses the External selection for Report Engine, selecting these checkboxes will allow Linked Documents marked as Reportable to be included on a patient report. 

Note

If the Report Engine is configured as Internal, Reportable Linked Documents will be included by default on a patient report.

Report Header/Report Body/Report Footer/Report Page Footer

The program selects the Standard Format patient report format settings automatically; however, you may select a different format for the header, body, footer, and/or page footer of patient lab reports. This list includes the standard format and alternate format one options, as well as any result header, body, footer, and/or page footer templates defined in the Layout Templates administration page that have been made live in the system. See the Layout Templates topic.

Once the program creates a report using these settings, it will not automatically update the report if you make changes to the header, body, footer, and/or page footer. A manual delivery would need to be initiated to send out a new version of a patient report using the modified report format. See the Lab Report topic.

Select Alternate Format 1 to group order choices together by their assigned reporting groups, add them to the report in the designated print order, and suppress or display result headers according to the setting for the reporting group. See the Order Choices topic. Additional formats can be configured with Layout Template.

Mailing Address

Select this option to show a mailing address on a result report. 

  • The mailing address will only appear if the report body template is configured to display the Ordering Location or Ordering Practice in its Mailing Label Settings.
  • The mailing address is shown in the bottom-left corner on the first page of a result report.
  • The address shown is the address of the ordering location or ordering practice.
  • You may work with Orchard Software Technical Support to adjust the margin settings around the mailing address, if necessary.
Show History

Select this option to display historical results for a patient's order choices in addition to the current results for the selected delivery method.

Content

Select an option to determine what results the program includes in the report. Choose from the following options:

  • All Results: Select this option to receive all of the results that have been received for the order, including those that may have been reported previously. When this is selected, each time order choices in an order are resulted or approved and sent back to the program, the program creates a new lab report that includes the latest results for every order choice in the order, regardless of approved/unapproved status. The program displays unapproved order choices as Pending. On the User Inbox page, you may select Reprint Past Print Jobs to view or print any of the previous lab reports created for the selected order.
  • New Results Only: Select this option to receive only the results that have come in for the order since the last report you received. When this is selected, each time order choices in an order are resulted or approved and sent back to the program, the program creates a new lab report that includes only the results for the order choices that were received.  

    Note

    On the User Inbox page, the system creates a lab report that contains all approved results that have accumulated since the last time a user selected Acknowledge Selected for the selected order. This means that lab reports you create in the User Inbox page could appear differently from the reports the system sends via email or fax when this setting is enabled.

     

CopiesEnter a value as the default number of copies of a report the program delivers to you. You can modify the number of copies delivered for a location on the Locations administration page, for users on the Users administration page, or set a default number of copies on the System Defaults administration page.
Stop Delivery

Determines how result delivery rules are allowed to trigger per delivery method.

  • Deliver to All: Allows all configured Result Delivery Rules to trigger for that delivery method.
  • Stop Delivery to Address: Only allows one Result Delivery Rule to trigger for each delivery address or site for a delivery method.
    • For example: Two email Result Delivery Rules are configured to use a user's email address; Two are configured to use an email override address. This method would only allow one delivery for each of these email addresses to occur.
  • Stop Delivery to All: Only allows one Result Delivery Rule to trigger for each delivery method.
ScheduleSelect this button to set specific schedules on the Delivery Scheduling page for when the program should deliver accumulated results to this user via the selected delivery method. See the Delivery Scheduling topic.


Establishing Result Delivery Rules

In the When User Results are Received section of the Result Delivery settings, you may further customize rules for when you receive results for each delivery method you established in the How I Receive Results section (see above), or you may choose to use the system default or practice-specific result delivery rules that were created in the System Defaults administration page.

Use System Default delivery rulesSelect the option to have the program use the delivery rules from the System Defaults administration page. When you select this option, the program displays the default and practice-specific delivery schedules defined in the System Defaults administration page. If you do not wish to use the system default settings, clear the Use System Default delivery rules checkbox. 
Enable sending batch email with maximum combined file size ofIf email delivery is used, this setting allows a user to define the maximum file size allowed for attached PDFs if multiple reports are sent in the same email.
Add Practice Result DeliverySelect the button and select a practice in the Practice Search page to create a new practice-level result delivery schedule. See the Practice Search topic.
Deliver this User's Reports to the Ordering Location (using the location's delivery rules)

Select this option to have the program use the ordering location's delivery rules when delivering the user's reports.

Note

Enabling this option can result in duplicate deliveries to an ordering location. It is recommended to always have this option cleared.

Deliver this User's Reports to this User (using this User's delivery rules)Select this option to have the program use the signed-in user's delivery rules when delivering the user's reports.
AddSelect to add additional delivery rules. The Result Delivery Rule page appears, allowing you to set up when the results are sent. See the Result Delivery Rule topic.
Delivery MethodThe type of delivery that will be used: Inbox, Email, Fax, RAPS, Direct Printing, HL7, or Direct Dial.
Delivery Destination OverrideThe number, address, printer, etc. that the program should use in place of whatever the user's default number, address, printer, etc. is. This is available for all methods except Inbox.
Day of WeekThe days of the week that results will be sent to you using this method.
New Reports GeneratedThe circumstances in which that type of report is created and sent (when any new result is received, when any order choice is final, or when all order choices are final, with or without exceptions).
Priority/SeverityThe status of the order (e.g., ASAP, Routine, STAT, or Normal, Abnormal, or Critical).
Ordering Provider isWhether the ordering provider is the selected user, someone else, or both.
Ordering Location ConditionThe ordering locations that should receive results via the selected delivery method.
Order Choice ConditionThe order choices that should be included or excluded from the result delivery for the selected delivery method.
Order Choice Type ConditionThe order choice types that should be included or excluded from the result delivery for the selected delivery method.
NotificationWhether or not the program sends email notifications for triggered result delivery rules for the user's selected delivery method (yes or no).
ScheduledDisplays whether or not the delivery rule will honor a schedule defined for the associated delivery method.
ActiveIndicates that the program will use the settings when delivering results. Clear this checkbox if the program should not send results using the method. If you do not select the checkbox in front of a delivery method in the How I Receive Results section (see above), the program will not allow you to set any delivery rules for that method to active status.
Sort OrderAllows you to sort the result delivery rules within a specific delivery method (e.g., all faxing rules). Select the up or down arrows to set the precedence order in which the program applies the rules for a method. By default, the program will deliver results for the method (fax, email, inbox, etc.) using the first unique delivery rule that fits the result's criteria. It will evaluate the rules for the method in the order you set here.
X

Select to delete in the Delete column that corresponds to the delivery settings you wish to delete. The program immediately deletes the delivery rule. This action cannot be undone.
