Description

Certifications are used in the system to manage operator competency for a specific instrument type. For some instruments, operators can be locked out of using a specific instrument type if they do not have a current certification. Operator certification can also be used to prevent manual approval from the Work in Progress page.

Note

The expiration date is calculated automatically according to the following rules:

  • If the last certification date is within one year of the initial certification, the expiration date is six months after the last certification date.
  • If the last certification date is not within one year of the initial certification, the expiration date is 12 months after the last certification date.
  • The expiration date will always occur on the same weekday as the last certification date.

To add certifications, a user must first be designated as an operator in the system. Do this by navigating to AdminCenter > Personnel > Users and select the Operator checkbox.

Technical Manual

New Certification Pop-up

Select the New Certification button to open the New Certification pop-up, where you add a new certification and its details.

Change Log

Select to open the change log for certifications.

ActiveSelect the checkbox to specify that the certification is active in the system.
Operator

Select inside or enter text in the field to select a member of personnel to create a new certification for.

Certified for

Select inside or enter text in the field to select the instrument type that the member of personnel will be certified to use.

Operator ID

Enter the personnel's user ID that is associated with the instrument in the field. This field is required.

Operator Password

Enter the personnel's instrument password in the field. Password is optional.

Initial Certification

Enter the first certification date in the fields to specify when the first certification was performed.

Last Certification

Enter the last certification date in the fields to specify when the last time the certification was performed.

Expiration

Enter the date of expiration in the field to specify when the user's certification for the instrument expires and needs to be recertified. Note that the date will auto-calculate, but the user can manually enter the date.

Select Now to enter the current date for each of the date fields, or select Clear to clear the date fields.

Order Choices

Select to open the Order Choices for pop-up for the specific instrument in the event of user certification that is specific by the order choice on a specified instrument certification. Select one of the following options:

  • All Order Choices
  • Selected Order Choices:  Select this option to choose specific order choices.

Select Save to save the order choices or select Cancel to close the pop-up without making any changes.

The Order Choices button text will turn green and italics when an order choice has been added.

Additional Info

Select to view additional information regarding the certification.

Notes

Enter text in the field to add notes to the certification. This field allows you to add additional text that may be needed for a specific certification.

SaveSelect to save the new certification.
CancelSelect to return to the Certifications page without creating a new certification.


Bulk Certifications Pop-up

Select the Bulk Certifications button to open the Bulk Certifications pop-up, where you can update or add new certifications to multiple operators at the same time for a single instrument type. 

Bulk Certifications Filter

Use this section to filter certifications.

  • Only show operators with no certifications: Select the checkbox to remove users with existing certifications from displaying in the table.
  • Only show operators with certifications: Select the checkbox to remove users without certifications from displaying in the table.

Note

Changing the filter will cause all entered data to be lost, so this should be done before entering certification information.

Bulk Certifications

Certified for: Enter text or select in the search-as-you-type field to search for and select an instrument type to certify operators for. You must first select the instrument type to certify before any user certifications are displayed. 

Order Choices: Select to specify what order choices the certification will apply to. By default, all certifications edited by the bulk add certification will apply to all order choices.

Select

Select a record's checkbox to tell the system to save the record when you select the Save button. Any certifications that do not have the Select checkbox selected will not be saved.

Select the Select column header to select all the Select checkboxes for all items in the list. Select the Select column header again to clear all the Select checkboxes for all items in the list.

User IDDisplays the user's system ID.
Operator NameDisplays the user's name in the system.
DeviceDisplays the device the user is being certified to use.
Order Choices

Displays the order choices the certification will apply to. By default, all certifications edited by Bulk Certifications will apply to all order choices. If an existing certification is updated, and different order choices are selected for the recertification event, the order choices that the user is certified for will be cumulative between the existing order choices and the order choices selected on the Bulk Certifications pop-up.

Bulk Certifications will not remove an order choice from a certification. You must manually edit a certification to remove order choices.

Note

Changing the order choices will cause all entered data to be lost, so this should be done before entering certification information.

Initial Certification

Displays the date and time when the user was first certified.

Select in the fields to manually enter a date and time for an individual record. Select the Now button to enter the current date and time or select Clear to remove the date and time from the fields. 

Select the column header to open a pop-up that allows you to bulk specify a date and time. After you close the pop-up, the specified value will be filled into all certifications for that field. 

You cannot modify the Initial Certification or Expiration fields for existing certifications. 

Last Certification

Displays the date and time when the user was last certified.

Expiration

Select the column header to open a pop-up that allows you to bulk specify a date and time. After you close the pop-up, the specified value will be filled into all certifications for that field.

Operator ID

Displays the ID of the user.

If the user does not yet have a certification, you can select in this field to enter the operator ID.

Operator Password

Displays the password of the user.

If the user does not yet have a certification, you can select in this field to enter the operator password.

Save

Select to save changes for the selected certifications. Any certifications that do not have the Select checkbox selected will not be saved. You can save only when the selected certifications have an Initial Certification date, Last Certification date, Expiration date, Operator ID, and Operator Password filled in.

An alert displays if there were any selected certifications that could not be saved, such as if the certification already existed, but the specified certification date is not within the acceptable range for recertifying.

CancelSelect to return to the Certifications page without adding any changes.


Certifications Overview Filter

Use the filter options on the Certifications page to assist in locating operator certifications. 

Show filter

Hide filter

Select the show filter link to display the Certifications Overview Filter options.

Select the hide filter link to hide the Certifications Overview Filter options.

Show inactive certifications

Select the checkbox to view only certifications that have been marked inactive in the system.   

Show inactive operatorsSelect the checkbox to view only operators that have been marked inactive in the system.
ExpiredSelect this checkbox to have the filter display only expired certifications.
Expiring Soon

Select this checkbox to have the filter display only certifications that are expiring soon.

Navigate to the Miscellaneous Settings tab of the System Defaults page to configure the timeframe used to determine when a certification is considered "expiring soon." See System Defaults.

CertifiedSelect this checkbox to have the filter display only certified operators.
Instrument Type 

Enter text in the search-as-you-type field to filter the table by instrument type. Select the blue link in the Name column to select the instrument. The table will automatically update. This is the default certified instrument for the type when creating a new certification and when bulk adding certifications.

Filter Certification Dates On

Select an option from the drop-down list to specify which certification date to filter by. Select either Initial Certification DateLast Certification Date, or Expiration Date from the drop-down list. The filter updates automatically depending on which option you select.

Start

End

Enter date/time values in the Start and End date/time fields to specify a date/time range to filter by. Select Now to enter the current date/time or select Clear to clear all values from the fields. Select the calendar icon to manually select a start and end date/time for the filter.

Testing Section

The Testing Section filter allows you to search for and select specific testing sections to filter by. Select in the field or select the magnifying glass icon to open the search options:

  • Show active only  
  • Show collection only 
  • Group Name
  • Location ID
  • Practice
  • City
  • ZIP/Postal Code

Select the testing sections by selecting the Select checkbox next to the testing section. The table displays the name of the testing section included in the filter.

Operators

The Operators filter allows you to filter for specific operators within the system. Select in the field or select the magnifying glass icon to open the search options:

  • Show active only
  • Operator ID
  • Group Name

Select the operators by selecting the Select checkbox next to the operator. The table displays the name of the operator included in the filter.

Managers

The Managers filter allows you to filter for specific managers within the system. Select in the field or select the magnifying glass icon to search for and select managers.

Select the managers by selecting the Select checkbox next to the manager. The table displays the name of the manager included in the filter.

RefreshSelect to refresh the table based on new filtering criteria.


Certifications Overview

The Certifications Overview section displays the search results from the filter options chosen in the Certifications Overview Filter

Bulk Actions

Select to select one of the following options from the drop-down list to make changes to multiple selected records at the same time:

  • Update Certification Date: Select to update a certification date via the Update Selected Expiration Dates pop-up. The New Expiration fields are automatically filled with the date seven days in the future, but you can enter a new expiration date in the fields. Select Now to enter the current date or   Clear to remove values from the fields. Enter text in the Reason field to specify why the expiration date is being updated. This is a mandatory field. Select Save to update the expiration date or select Cancel to close the pop-up without changing the expiration date.
  • Recertify: Select to recertify a certification via the Recertify Personnel pop-up. Enter date values in the New certification date fields. Select Now to enter the current date or Clear to remove values from the fields. Select Update Certifications to update the certification or select Cancel to close the pop-up without updating the certification. The new expiration date will be automatically calculated based on the system calculation defined above.
  • Export: Select to export search results. This option allows you to specify how fields are delimited by picking a sub-menu option:
    • Comma
    • Double quotes and comma
    • Semicolon
    • Tab
    • Vertical bar

By default, if no rows are selected, all pages of the current results set will export. If any rows are selected, only the selected set of certifications will be exported. The following columns will not be included in the export data: History (button column), Edit (button column), Select (checkbox column), and Additional Info.

SelectSelect the checkbox to select a record to perform bulk actions.
OperatorDisplays the name of the operator.
Instrument TypeDisplays the type of instrument the operator has a certification for.
# Uses This PeriodDisplays the number of times the operator used the instrument type (for non-QC results) during a specific period. When the operator is recertified, this column is cleared.
#QC This PeriodDisplays the number of QC performed during a specific period. When the operator is recertified, this column is cleared.
Last Certification DateDisplays the last date of the last certification for the operator/instrument in the format MM/DD/YYYY.
Expiration Date

Displays the certification expiration date in the format MM/DD/YYYY.

The icons displayed next to the date are visual representations of ExpiredExpiring  Soon, and Certified.

  • The green check mark indicates the operator is Certified.
  • The red exclamation point indicates the operator certification has Expired.
  • The yellow triangle with exclamation point indicates the operator certification is Expiring  Soon.
Active CertificationDisplays whether the certification is active or not. This is displayed as Yes or No.
Active OperatorDisplays whether the operator for the certification is mapped to an active user record. This is displayed as Yes or No.
Edit

Select to open the Edit Certification pop-up, which allows you to edit the certification information for the operator/instrument. 

The OperatorCertified forOperator IDOperator PasswordInitial CertificationLast CertificationExpirationOrder ChoicesAdditional Info, and Notes fields can be edited.

HistorySelect to open the Certification History pop-up, which allows you to view the current and past history of the certification.
  • Select Additional Info to view additional information for the certification on the Additional Information pop-up.
  • Select Edit to edit the certification on the Edit Certification pop-up.
  • Select Close to close the pop-up.


Edit Certification Pop-up

Select the Edit button in the Certifications Overview list to open the Edit Certification pop-up, where you can edit a single certification.

Change Log

Select to display the Change Log pop-up to show all of the changes that have been made for that record.

  • Certification Settings: Select to display the Certification Change Log Settings pop-up to view settings. Select Close to close the pop-up.
  • Show/Hide filter: Select to display or hide the Change Log Filter options.
  • Changes Made by: Select an option from the drop-down list to filter the table based on who made the changes. Select either All, Host, User, Patient, Orchard Superuser, or System.
  • Event: Select an option from the drop-down list to filter the table based on the type of event. Select either All, Create, Update, or Delete  from the drop-down list.
  • Start and End: Enter date/time values in the Start and End fields to specify the date/time range for the filter. Select Now to enter the current date/time, or select Clear to clear the fields.
  • Type (Table Name) Search Text: Enter text into the field to search for a specific instance.
  • Print Selected: Select to print the selected change log records.
  • Export Selected: Select to export the selected change log records.
  • Select either Comma, Double quotes and comma, Semicolon, Tab, or Vertical bar to specify a delimiter.
  • Reset Filter: Select to reset the filter and begin filtering with new criteria.
  • Refresh: Select to update the table with new filter criteria.
  • Select: Select the checkbox to choose specific change log records to print, export, etc.
  • OK: Select to close the Change Log pop-up.
Active

Select the checkbox to specify that the certification is active in the system.

Operator

Enter text in the field to specify the name of the operator.

Certified for

Select in or enter text in the field to specify what instrument the operator is certified for.

Operator ID

Enter text in the field to specify the operator's ID.

Operator Password

Enter text in the field to specify the operator's password for the instrument.

Permissions

Select the drop-down list to select a value based on the selected instrument type in the Certified for field. The values that populate the drop-down list (one, two,  three, four, etc.) are determined by the instrument type selected in the Certified for field. When the selected instrument type is changed, the values in the  Permissions drop-down list update to reflect the instrument type.

If the selected instrument type does not have defined permission levels, the Permissions drop-down list is not displayed. The default selected value is defined on the Instrument Types administration page.

Note

The permission level sent to an ODE with the certification was historically hard-coded as  one. The system continues to send one when the user does not have a selected Permissions value for the instrument type certification.

When a recertification event occurs, the permission level of the previous certification is preserved in addition to the usage information.

If the selected instrument type changes, the drop-down list either hides (if the new type does not support the setting) or updates with the new permissions labels.

If a certification is loaded with a permission level that has been inactivated since it was assigned to the user, the text (inactive) appears next to the selected permission value. For example, three (inactive).

Initial Certification

Enter values in the fields to specify the initial certification date or select the calendar icon to manually enter a date. Select Now to enter the current date or select Clear to clear the fields.

Last Certification

Enter values in the fields to specify the last certification date or select the calendar icon to manually enter a date. Select Now to enter the current date or select Clear to clear the fields.

Expiration

Enter values in the fields to specify the date the instrument certification expires or select the calendar icon to manually enter a date. Select Now to enter the current date or select Clear to clear the fields.

Order Choices

Select to open the Order Choices for pop-up for the specific instrument in the event of user certification that is specific by the order choice on a specified instrument certification. Select one of the following options:

  • All Order Choices
  • Selected Order Choices: Select this option to choose specific order choices.

Select Save to save the order choices, or select Cancel to close the pop-up without making any changes.

The Order Choices button text will turn green and italics when an order choice has been added.

Additional Info 

Select to view additional information regarding the certification.

Notes

Enter text in the field to add notes to the certification. This field allows the user to add additional text that may be needed for a specific certification.

Close

Select to close the pop-up and return to the Certifications page.
