Description

Use the Release Samples page to manually filter lab orders within the system.

To search for specific lab orders, you must insert the necessary criteria in the Lab Orders Filter. You may search for orders by narrowing down information on the order choices. When you have entered the information, select Refresh to bring up a list of patients that match the search criteria. Once you have found the patient lab orders that you want to release, you may release the sample by selecting the checkbox and selecting Transmit Selected. This will release the patient samples.

When using this page for batch transmission, note the following:

  • If an order choice is routed to a host that is not marked as batch transmission and the host is marked for skip collection on the ordering location, this order choice will not appear on this page.
  • If an order choice is routed to a host that is marked as batch transmission and the host is marked for skip collection on the ordering location, this order choice will only appear on this page when it qualifies for the Ordered, waiting to be released status. Once the order choice is released from the Release Samples page, it cannot appear on the Release Samples page again because it had never been marked as collected.

Note

The data displayed on this page depends on the column view settings for your facility. The system uses the column view settings to control what columns appear in the tables on this page and the order in which it sorts the displayed information. You may set column view rules at the location or the system-default levels. The rules for the signed-in location, if available, supersede the system default column view rules. See Column View Setup.

Access

  • TaskCenter > Manage Samples > Release Samples
  • Select the Go button on the Clients tab of the Client Services page.

Lab Orders Filter

Select the show filter link to make the lab orders filter visible.

Select the hide filter link to hide the lab orders filter.

Automatically refresh every _ secondsSelect this checkbox to specify an amount of seconds for the table to automatically refresh with new samples. The default value is 5.


Search for orders

Select this option to search for orders using specified criteria.

Show samplesSelect an option from this drop-down list to set which point in time in the ordering process you wish to search: OrderedCollectedReleasedResults ApprovedResults Posted.
in the past

Select this option, then enter a value and select an option from the drop-down list to limit the list to matches within a relative time range: hoursdays, or weeks.

The default time range is 8 weeks for most sample statuses; however, the default time range for order choices that have a status of Collected, released, refused by lab is 5 days.

between

Select this option, then enter start and end dates/times to limit the list to the time range matches within a specific time range.

Select Now to enter the current date and time. Select Clear to clear the date and time fields.

With status of

Select an option from this drop-down list to limit the list based on the status of the order choices you are searching for:

  • All
  • Ordered, waiting to be released
  • Collectedwaiting to be released
  • Collected, released, awaiting results
  • Collected, released, preliminary results posted
  • Collected, released, final results posted
  • Collected, released, corrected results posted
  • Collected, released, refused by lab

Note

The Ordered, waiting to be released option allows those order choices ordered at a skip collection location that are going to a batch transmit host (lab) to be displayed.

Testing Host

Select an option from this drop-down list to limit the list based on the testing location (lab).

Select All to include all testing locations.

Entry Location

Enter text or select in this search-as-you-type field to select a location to limit the list based on the signed-in location of the person who placed the order.

Select All to include all locations. 

Ordering Location

Enter text or select in this search-as-you-type field to select a location to limit the list based on the location where the person placed the order.

Select All to include all ordering locations. 

Collection Location

Enter text or select in this search-as-you-type field to select a location to limit the list based on the location where the person collected the order.

Select All to include all collection locations. 

Storage Temperature

Select an option from this drop-down list to limit the list based on the temperature at which the order should be stored.

Select All to include all storage temperatures.

Sample Type

Enter text or select in this search-as-you-type field to select a sample type to limit the list based on the type of sample that needs to be collected for the order.

Select All to include all sample types.

PatientEnter text or select in this search-as-you-type field to select a patient to limit the list based on the patient.
Primary Care ProviderEnter text or select in this search-as-you-type field to select the primary care provider for the patient to limit the list based on the primary care provider.
Entered ByEnter text or select in this search-as-you-type field to select the person that entered the sample into the system to limit the list based on that person.
Allow Re-transmit

Select this checkbox to select and transmit order choices that have already been sent to the lab. This option is not selected by default.

If this checkbox is not enabled, you may not transmit entries that have already been sent to the lab.

Upon transmitting orders print 

If desired, select one or more options to set what the system prints upon transmitting orders:

  • Requisition
  • Manifest
  • Labels

 You may establish the default values for these checkboxes on the  Application page or Users page. 

Note

Notes on requisitions you print in this manner:

  • The system prints all requisitions before printing manifests.
  • The system prints only one requisition per order.
  • If not all the order choices for an order were selected for transmission, the system only includes the selected order choices on the requisition.
  • The system prints summary copies and lab copies based on your regular requisition settings.

Note

Notes on manifests you print in this manner:

  • The system prints manifests the same the same way it does from the Manifest page.
  • If you select multiple labs, the system creates one manifest for each lab selected.
  • You may review created manifests on the Create Manifest page.
Batch IDEnter text in this field to filter the list based on the batch ID.


Manually select samples

Select this option to manually select samples.

Identifier


Manifest/Order/Sample/Metacontainer ID

Enter text in this field that is associated with a Manifest ID, Order ID, Sample ID, or Metacontainer ID, then select Add to manually select samples. These IDs can also be scanned with a bar code scanner.

Clear Selected SamplesSelect this button to remove selected samples.
Display most recently scanned samples firstSelect this checkbox to display the most recently scanned samples first.
Only show order choices waiting to be releasedSelect this checkbox to only display order choices that are waiting to be released.
Maintain manifest orderSelect this checkbox to maintain the manifest order when manually selecting manifests.
Allow Retransmit

Select this checkbox to select and transmit order choices that have already been sent to the lab. This option is not selected by default.

If this checkbox is not enabled, you may not transmit entries that have already been sent to the lab.

Upon transmitting orders print 

If desired, select one or more options to set what the system prints upon transmitting orders:

  • Requisition
  • Manifest
  • Labels

Lab Orders Table

Acknowledge Selected

Select this button to acknowledge selected order choice, which will make it so they no longer show up for that status selection on the screen.

Note

This button is only visible if you select a status in the With status of filter of Collected, released, corrected results posted or Collected, released, refused by lab. This button also appears when using the Manually select samples filter option.

Change Status

Select order choices, then select this button to change the status of the order message on the Change Selected Status pop-up.

Select Change to Released to change the order message to display as released.

Select Do Not Change to close the pop-up without making any changes. This will not generate order messages to be sent to the lab.

Note

This button is only visible under the following conditions:

  • When the Manually select samples checkbox is selected.
  • When the With status of drop-down list has the Ordered, waiting to be released option selected.
  • When the With status of drop-down list has the Collected, waiting to be released option selected.

Transmit Selected

Acknowledge

Select order choices you wish to manually transmit, then select Transmit Selected to generate an order message for each of the selected entries (whether or not they had already been transmitted). For samples being sent to a testing facility, the orders will be accessible on the Work in Progress page.

Note

When the filter is set to Collected, released, refused by lab, the Transmit Selected button becomes an Acknowledge button. 

Select order choices, then select Acknowledge to clear the order choices from the Collected, released, refused by lab list and append a note to the cancellation message stating that the cancellation has been acknowledged.

Note

HL7 messages are sent in the order that they are selected. If an item was selected, the page's filter was changed so those items will be added to the end in any order.

Note

These buttons are only visible if you select the Manually select samples filter option.

Reroute Selected

Select order choices, then select this button to display the Reroute Selected pop-up to reroute the selected message.

  • Select the Host To Reroute To drop-down list and select a host from the list. This newly selected host will be the host in which the message is rerouted to. 
  • Select the Reroute Type drop-down list and select a reroute type from the menu. Select either Reroute or Reroute and generate new from the list. 
  • Select the Automatically collect previously collected samples checkbox to have the system automatically collect samples that were previously collected in the system; if this is selected, the order choices will maintain their collected state as well as any manually entered collection information. 
  • Select the Send HL7 messages checkbox to have the system send HL7 messages after rerouting; if this is selected, a cancellation message will be sent to the previous host, and a new order message will be sent to the new host. Note that this will only occur for order choices that are being marked as collected and that have previously had HL7 messages sent. 
  • Select the Print labels checkbox to have the system print labels; if this is selected, labels will be printed for the order choices.
  • Select the Print requisitions checkbox to have the system print requisitions. If the user selects to print requisitions, requisitions will be printed for the order choices. Note that only order choices that have host codes for the new host, do not have results, and are not already routed to the host will be routed. 
  • Select Reroute to perform the reroute, or select Cancel to close the pop-up.


When rerouting collected samples, samples previously routed to testing facilities will have their results lists cleared, allowing the system to evaluate available instruments and test sets at the new destination. Any previously triggered result evaluation rules on the order choice will be reset, including the Prevent Auto-approval action.

Note

You cannot reroute samples on orders with approved results using this button. 

Refresh

Select this button once you have the desired settings for the filter to update the table list.

Note

By default, the system selects All for the location fields (if you did not specify a value), Collected, waiting to be released for the status, and Show samples collected in the past 1 days.

ClearSelect this button to clear the table.
Total rows selected

Displays the number of rows selected. 

As you select or deselect samples, the system updates this field.

Show _ entriesIf the list is longer than one page, enter a number in this field to display more entries or use the page arrows to navigate through the list.
Order ChoiceDisplays the name of the order choices in the order.
SelectSelect this checkbox to apply an action to the selected order choice.
Date/TimeDisplays the date and time the sample was ordered, collected, released, or results were received, depending on the selected filter option.
Patient

Displays the name of the patient for the order.

Select the name link to open a contextual menu. Select the page you wish to open for the selected order.

Order Choice AbbreviationDisplays the order choice abbreviation.
Sample ID

Displays the sample ID for the order choice.

Select the link to open a contextual menu that allows you to navigate to the Sample Inquiry Pop-upSample TransferWork in Progress, or Dispose Metacontainer Pop-up when dealing with metacontainer samples as well as the options in the Order and Patient menus.

Note

A Sample Tracking license must be enabled to view sample inquiry, transfer, and disposal options.

Order ID

Displays the order ID for the order.

Select the link to open a contextual menu. Select the page you wish to open for the selected order. Note that some options may not be available.

  • Review Order: Select this option to view the order in the Order Patient Samples page. See Order Patient Samples.
  • Samples: Select this option to collect samples for the order in the Collect Samples page. See Collect Samples.
  • Labels: Select this option to print master and tube labels on the Print Labels page. See Print Labels. Note that this option may be disabled, depending on the administration settings for your signed in location.
  • Requisition: Select this option to print requisition(s) for the order on the Requisition(s) page. See Requisitions.
  • Change Log: Select this option to view the change log for the selected order. See Change Log Settings. Note that you must have the necessary security right to access the Change Log page.
  • Lab Report: Select this option to create a lab report of the order on the Lab Report page. See Lab Report.
  • Linked Documents: Select this option open the Linked Documents page for the order or patient whose link was selected. This option will display green and italicized if the link appears.
  • Work in Progress: Select this option to open the selected order in a temporary tab in Work in Progress, where all the information related to the selected order is listed.
Entry LocationDisplays the signed-in location of the user who placed the order.
LabDisplays the location where testing was or will be performed.
Ordering LocationDisplays the location where the order was placed.
