Use the QC Lots page to configure, add, edit, and manage QC lots. Managers can edit in bulk and view Levey-Jennings graphs or qualitative analysis charts on the page.

Access

AdminCenter > QC > QC Lots

You must have the necessary security permissions to access the QC Lots page. 



Technical Manual

If you enter invalid values or dates into the fields, the system displays a red box around the field(s). Hover your mouse pointer over the field(s) to see the error message.

Viewing the QC Lot List

The QC Lots page contains a list of up to ten QC levels. If the list is longer than one page, use the page links located above or below the list of QC levels to navigate through the list. 

Show active only

Select the checkbox to view only active QC lots. You set the active/inactive status in the QC Lot Details section of the QC Lot pop-up. See "QC Lot Pop-up" below. 

NameEnter text in the field to filter the table by lot name.
Lot NumberEnter text in the field to filter the table by lot number.
QC Material

Select in or enter text in the field to filter the table by a specific type of QC material.

Instrument TypeSelect in or enter text in the field to filter the table by a specific type of instrument.
InstrumentSelect in or enter text in the field to filter the table by a specific instrument.
AddSelect to open the QC Lot pop-up, where you can create a new QC lot. See "QC Lot Pop-up" below.
RefreshSelect to refresh the search results in the table list. 
Bulk Edit

Select to open the QC Lot pop-up, where you can edit certain details of the selected QC lots in bulk.

Edit: Select the checkbox next to the fields you'd like to bulk edit for the selected QC lots.

See "QC Lot Pop-up" below for information on each field you can edit.

QC Analysis

Select to display the Configure Test Data pop-up. The pop-up has three sections: Instrument/Lot Filter, Instrument/Lot List, and Test List

  • Instrument/Lot Filter: Retains selections from the base page's QC lots list and will filter the next section, which displays a list of instrument/lot groupings.
    • Show active only: Select the checkbox to have the filter display active test data.
    • QC Lots: Select inside and enter text in the search-as-you-type field. Select lots by selecting the Select checkbox.
      • The QC Lots list table displays the following information:
        • Select: Select the Select checkbox to select the QC lot.
        • Name: Displays the control name.
        • Lot Number: Displays the QC lot number.
        • Instrument: Displays the name of the instrument.
        • Control Level: Displays the control level for that particular QC. For example, Low, Medium, or High.
        • Automatic SID: Displays the ID that the instrument sends. This number is used to match control values for instruments. Note that this varies depending on instrument.
        • Opened: Displays when the QC was put in use in the format MM/DD/YYYY.
        • Closed: Displays when the QC was finished in the format MM/DD/YYYY.
        • Expires: Displays when the QC expires in the format MM/DD/YYYY.
        • Active: Displays whether the QC is active within the system.
    • Testing Locations: Select inside and enter text in the search-as-you-type field. Select locations by selecting on the blue link. The selections will appear in the table below.
    • Instrument: Select inside and enter text in the search-as-you-type field. Select instruments by selecting on the blue link. The selections will appear in the table below.
    • Show quantitative lots only: Select the checkbox to have the pop-up only display quantitative lots.
    • Show qualitative lots only: Select the checkbox to have the pop-up only display qualitative lots.
  • Instrument/Lot List: Required in order to select tests for the Qualitative Analysis pop-up.
    • Select All: Select to select everything in the table,
    • Deselect All: Select to deselect everything in the table.
  • Test List: Displays tests configured for the selected lots and instruments.

  • QC Analysis: Select the button at the bottom of the Configure Test Data pop-up to display the QC Analysis pop-up.
    • The table displays the following columns:
      • Run Date/Time: Displays the date/time that the QC was run.
      • Status: Displays the status of the QC as pass or fail.
      • Result: Displays the result of the test.
      • Suppress: Select the checkbox to suppress the QC. Select the checkbox in the Suppress column to have results that are configured as "suppressed" be excluded from the graph and calculated mean, standard deviation, and coefficient of variance calculations both in the browser and PDF versions of the Levey-Jennings graph.
      • Errors: Displays any errors with the QC.
      • Operator Name: Displays the name of the operator.
      • Operator ID: Displays the operator's ID.
      • Appr By: Displays the name of the user who approved the QC test. Displays "System" if the result was auto-approved.
    • Show Previous Month: Select to pick whether to apply a specific date range or to include results from the previous calendar month. When Show Previous Month is selected, the start date includes results from the previous calendar month. When Show Previous Month is cleared, the start and end date fields are applied.
    • Start and End: Enter date values in the date/time range fields, or select the calendar icon to manually enter a date/time. Select Now to enter the current date/time, or select Clear to clear the fields.
    • Display most recent ___ points: Enter a value in the field to have the graph display a specific amount of recent lot points. The default value is 30.
    • Include rerun results: Select the checkbox to include rerun results in the data set.
    • Refresh: Select to refresh the QC Analysis pop-up.
    • More > or < Less: Select to display or collapse the Graph Options section.
      • Selecting More > displays the Selected Testing Sections and All Testing Sections Except... options to include or exclude the selected testing sections.
    • Reagent Lot, QC Lot, and/or Instrument: Select the checkboxes to specify where to split graph lines on the Levey-Jennings graph. The table displays the Expected and Observed mean, standard deviation, and CV values.
    • Show Observed: Select to display a pop-up listing each graph line's name with a color-coded block to match the line on the graph. The Observed mean, standard deviation, and coefficient of variation appears in-row with each line's name. When only one line is displayed on the graph image, the observed stats continue to display in the Observed column. Select Close to close the pop-up.
    • Instrument: Select inside the field and select an option.
    • Locations: The filter allows the manager to filter for specific locations within the system. The table displays the name and active status of the location, as well as the ability to select the location via the Select column. Select inside the Locations field to search for a specific location, or select the magnifying glass icon to manually search for a location. The table will automatically populate search results.
      • Show active only: Select the checkbox to have the filter display active locations.
      • Show collection only: Select the checkbox to have the filter display collection locations only.
      • Group Name: Enter the group name in the field to filter by group name.
      • Location ID: Enter the location ID in the field to filter by the location's ID.
      • Practice: Enter the practice name in the field to filter by the practice.
      • City: Enter the city name in the field to filter by the city.
      • ZIP/Postal Code: Enter the ZIP/postal code in the field to filter by the ZIP code or postal code.
      • Select: Select the checkbox in the Select column to select the location. The table will automatically populate search results.
    • Operators: Select inside the field to search for a specific operator, or select the magnifying glass icon to manually search for an operator. The table will automatically populate search results.
      • Show active only: Select the checkbox to have the filter display active operators.
      • Operator ID: Enter the operator ID in the field to filter by the operator's ID.
      • Group Name: Enter the group name in the field to filter by group name.
      • Select: Select the checkbox in the Select column to select the operator. The table will automatically populate search results.
    • Qualitative tab: If there's qualitative QC to review, the system will display a Qualitative tab at the top of the QC Analysis pop-up. Use the tab's time range filter to narrow the results. Select Refresh to apply the filter. By default, the time range filter has a value that covers start-of-day for the previous thirty days.
    • Print: Select to print the qualitative analysis QC lot file on the Print Settings pop-up. Select Cancel to close the pop-up without printing.
      • Page Layout: Select what to print and how it's displayed.
        • From the drop-down list, choose how much of the displayed graph information to print: Print graph & summary, Print graph only, or Print summary only
        • Select what tests to include on the printout on the top tab row above the graph image.
          • Print all tests: Select to print all the tests. This option is not available when Print Summary Only is selected from the drop-down list.
          • Print current tests: Select to print only the current tests. This option is not available when Print Summary Only is selected from the drop-down list.
        • Print rerun tests: Select to print rerun tests. This option is not available when Print Summary Only is selected from the drop-down list.
        • Page break by reagent: Select to print each reagent on its own page of the printout.
        • Page break by instrument: Select to print each instrument on its own page of the printout.
        • Print QC Summary: Select to include the QC Summary on the printout.
      • Summary Data: Select what to include on the QC Summary of the printout:
        • Include QC Comment on QC Summary: Select to display the Comments column with the data rows after each printed graph.
        • Include QC Resolution on QC Summary: Select to include the Resolution column with the data rows after each printed graph. The Resolution text will include whatever comment a user entered to resolve a Trend Rule or abnormal QC result on TaskCenter > Manage Testing > Review QC > Details pop-up.
      • Graph Data: Select how the lines should print for LJ graphs.
        • Split lines on reagent lot: This setting inherits its default checked state based on what was selected on the QC Analysis pop-up before selecting Print. This option is not available when Print Summary Only is selected from the drop-down list in the Page Layout section.
        • Split lines on QC lot: This setting inherits its default checked state based on what was selected on the QC Analysis pop-up before selecting Print. This option is not available when Print Summary Only is selected from the drop-down list in the Page Layout section.
        • Split lines on instrument: This setting inherits its default checked state based on what was selected on the QC Analysis pop-up before selecting Print. This option is not available when Print Summary Only is selected from the drop-down list in the Page Layout section.
        • Separate each line to a new chart: This option is not available when Print Summary Only is selected from the drop-down list in the Page Layout section.
        • SDI uses: Choose expected mean/SD or observed mean/SD. This option is not available when Print Summary Only is selected from the drop-down list in the Page Layout section.
      • Review QC
        • Mark all unreviewed QC as reviewed: Select to mark any unreviewed QC as reviewed with the current user's signed-in credentials.
    • Print: Select to print the QC analysis using the selected options.
    • Cancel: Select to close the pop-up without printing the QC analysis.
Order QCSelect to open the Order QC pop-up to allow the user to select which QC lot and instrument combinations they would like to place QC orders for.
  • QC Lots: Select in or enter text in to the search-as-you-type field to filter the table by specific QC lots.
  • Testing Location: Select in or enter text in to the search-as-you-type field to filter by testing location.
  • Instrument: Select in or enter text in to the search-as-you-type field to filter by instrument.
  • Select All: Select the button to select all options in the table.
  • Deselect All: Select the button to clear all options in the table.
  • Order QC: Select the button to order QC for options that are selected in the table. Select Order QC to order QC for the selected instrument(s) in the table. Once the QC has been ordered, the Order QC Alert pop-up will be displayed. Once selected, a prompt is displayed allowing the user to select the repeated QC orders that should be ordered again. Select Order on the Order QC Alert pop-up to place the order, or select Cancel to close the pop-up.
  • Close: Select the button to close the pop-up without ordering QC.
SelectSelect the checkbox next the the QC lots you'd like to work with or take bulk action on.
NameSelect the QC lot name link to view or edit information for that QC lot on the QC Lot pop-up. See "QC Lot Pop-up" below.
Copy

Select to open the Bulk Copy QC Lot pop-up.

  • New Lot Name: Enter text in to the field to specify the new lot name, or select an option from the drop-down list to automatically insert a field code.
    • Select field code to insert: Select an option from the drop-down list to specify a field code to insert. Select either Instrument Name, Instrument Serial Number, Lot Number, Order Choice Abbreviation, and/or Order Choice Name from the drop-down list.
  • New Lot Number: Enter a value in the field to specify the new lot number, or select an option from the drop-down to to automatically insert a field code.
    • Select field code to insert: Select an option from the drop-down list to specify a field code to insert. Select either Instrument Name, Instrument Serial Number, Lot Number, Order Choice Abbreviation, and/or Order Choice Name from the drop-down list.
  • New Auto SID: Enter text in to the field to specify the new SID, or select an option from the drop-down list to automatically insert a field code.
    • Select field code to insert: Select an option from the drop-down list to specify a field code to insert. Select either Instrument Name, Instrument Serial Number, Lot Number, Order Choice Abbreviation, and/or Order Choice Name from the drop-down list.
  • Instrument Type: Enter text into or select inside the search-as-you-type field to search for and filter by a specific instrument type.
  • Retain Alerts and Comments: Select the checkbox to retain saved alerts and comments when bulk copying QC lots.
  • Retain Additional Info: Select the checkbox to retain saved additional information when bulk copying QC lots.
  • Selected Instruments: Enter text in to or select inside the field to add a specific instrument to the table. The table displays the name, ID, device engine, and the type of instrument. Clear the Select checkbox to remove the instrument from the table.
  • Copy For Selected Instruments: Select to bulk copy the selected QC lots
  • Cancel: Select to close the pop-up without copying any QC lots.


QC Lot Pop-up

Use the QC Lot pop-up to add or edit information for the selected QC lot or create a new QC lot. 

Lot Name

Enter the name of the QC lot in the field. This field is required. To edit the QC lot name, highlight or delete text already displayed in the field, then modify as desired.

ActiveSelect the checkbox to specify that the QC lot is active in the system and will be searchable within the system.
Lot NumberEnter text in the field to define the QC lot number. This is a required field.
Manufacturer Expiration DateEnter text in the field to display the calendar date when the manufacturer specifies that the lot is expired. The calendar date is stored at midnight of the date it was filled. 
QC MaterialSelect in the field to search for and select the QC material in this QC lot.
Instruments

Select the button to display the QC Lot Instruments pop-up. The pop-up allows the system to support multiple instruments on each QC lot.

  • Show active only: Select the checkbox to have the table only display active QC lot instruments in the system.
  • Instrument Type: Select an instrument type from the drop-down list. An instrument type must first be specified before instruments can be selected. If an order choice has already been selected on the QC lot, then only instrument types that support tests for that order choice will be shown. After you select the instrument types and select Save, the pop-up will disappear and the Order Choice field will have its list of order choices limited to only order choices that support tests for the selected instrument. The changes to the instruments will also apply when bulk editing a selection of QC lot. This is a required field.
Order ChoiceEnter text in the field to define the order choice. This is a required field. The order choices listed to choose from are limited to order choices that support tests for the selected instruments. 
Automatic SIDEnter text in the field to define the SID that the instrument sends. This number is used to match control values for instruments. Note that this varies depending on instrument.
Lot OpenedEnter values in the fields to define the date in which the QC was put in use, or select the calendar icon to manually enter the opened date. Select Now to enter the current date in the format MM/DD/YYYY, or select Clear to remove the values from the fields.
Lot ClosedEnter values in the fields define the date in which the QC was closed, or select the calendar icon to manually enter the closed date. Select Now to enter the current date in the format MM/DD/YYYY, or select Clear to remove the values from the fields.
Lot ExpiresEnter values in the fields define the date in which the QC expires, or select the calendar icon to manually enter the manufacturer expiration date. Select Now to enter the current date in the format MM/DD/YYYY, or select Clear to remove the values from the fields.
Option 1Enter text in the field to define additional parameters for the instrument.
Option 2Enter text in the field to define additional parameters for the instrument.
Allow QC results that were performed on instruments not assigned to this lot to match to this lot

Select the checkbox to have the system accept results and orders for the QC lot even if they come from an instrument that is not assigned to the QC lot. When the checkbox is cleared, the system only accepts results and orders for a QC lot from instruments that are assigned to the QC lot.

  This setting and the  Electronic QC  setting are not compatible. This  setting will be cleared and disabled when the  Electronic QC  setting is selected.

Electronic QCSelect the checkbox to mark the lots as electronic QC. Lots that are marked as electronic QC will not match to standard QC result messages sent by an instrument; they will only be used for matching to result messages that are designated as electronic QC by containing an E in SPM-11. Electronic QC lots cannot have QC orders placed manually; orders for electronic QC lots will only be created when electronic QC messages are sent by an instrument.
QC SchedulesSelect to open the QC Schedules pop-up that displays all the schedules set up for this QC lot. You can add or edit QC lots to be ordered on a schedule. This button is only accessible if the QC lot has already been saved to the system.
Alerts & CommentsSelect to view any alerts or comments that have been defined for the QC lot.
Change LogSelect to display the Change Log pop-up to show all of the changes that have been made for that record.
  • Certification Settings: Select to display the Certification Change Log Settings pop-up to view settings. Select Close to close the pop-up.
  • Changes Made by: Select an option from the drop-down list to filter the table based on who made the changes. Select either All, Host, User, Patient, Orchard Superuser, or System.
  • Event: Select an option from the drop-down list to filter the table based on the type of event. Select either All, Create, Update, or Delete.
  • Start/End: Enter date/time values in the fields to specify the date/time range for the filter. Select Now to enter the current date/time, or select Clear to clear the fields.
  • Type (Table Name) Search Text: Enter text into the field to search for a specific instance.
  • Print Selected: Select to print the selected Change Log records.
  • Export Selected: Select to export the selected Change Log records.
  • Select either Comma, Double quotes and comma, Semicolon, Tab, or Vertical bar to specify a delimiter.
  • Reset Filter: Select to reset the filter and begin filtering with new criteria.
  • Refresh: Select to update the table with new filter criteria.
  • Select: Select the checkbox to chose specific Change Log records to print, export, etc.
  • OK: Select to close the Change Log pop-up.
Additional Info

Select to display the Additional Information pop-up.

  • Acquire Images: Select to display the Set TWAIN Device pop-up. Select the TWAIN device to use by selecting the button with the name of the device. For example, HP HD Webcam TWAIN. On the pop-up, select Device to view the name of the device; select Format and Preference to edit device properties; and select Snapshot to take the picture. Select Cancel to close the pop-up.
  • Switch to browser upload: Select the link to upload an image from the computer via the Choose File button. Select the Switch to TWAIN application link to view the Acquire Images button.
  • Remove All: Select to remove all images from the table. Select Remove Selected to remove only the selected images from the table.
  • Convert Selected into Single PDF: Select to convert the selected images into a single PDF.
  • Select: Select the checkbox to select images from the table.
  • Arrows: Sort the images by selecting the up and down arrow buttons.
  • X: Select to delete the images from the table.
  • OK: Select to add the images to the page, or select Cancel to close the pop-up without saving any changes.
Show Previous Control ValuesSelect the checkbox to have the system display previous control values for the lot. These values do not always change and they may remain at the same level.
Update TestsSelect to update the control values for the lot by adding additional control values for new tests that have been added to the test set for the selected instrument and order choice. This button will also inactivate any control values for tests that have been deleted from the test set for the selected instrument and order choice. When a control value is made inactive, it will only appear when the Show Previous Control Values checkbox is selected. Inactive control values cannot be edited or deleted, but will still be used by any QC orders that were resulted before the QC lot was updated. Inactive control values will not be used by any QC orders for the lot after the control value has been marked as inactivated. Additionally, if the QC lot has been ordered for QC, then deleting the control value for a test will mark the control value as inactive instead of deleting it when there are no other control values on the lot for the test. All existing control values that have tests that still exist on the test set for the selected instrument and order choice will remain unchanged. The Update Tests button will be colored red when there are updates that can be made for the control value tests.
Quantitative tab

The Quantitative tab on the QC Lot pop-up table displays the following information:

  • Test: Displays the name of the test.
  • Mean: Displays the mean value for the test.
  • SD: Displays the standard deviation for the test.
  • Low: Displays the low control value for the test.
  • High: Displays the high control value for the test.
  • Units: Displays the units of measurement for the test.
  • Mandatory: Select the checkbox to make QC control values mandatory. QC control values that are marked as mandatory will prevent QC orders containing the control value from being approved when the control value's test result is empty if the order choice is set to require all mandatory tests to be resulted before approval.
  • Start Date: Displays the start date/time in which the QC settings are applicable for the test in the format MM/DD/YYYY HH:MM AM/PM. Select Now to enter the start date/time.
  • End Date: Displays the end date/time in which the QC settings are applicable for the test in the format MM/DD/YYYY HH:MM AM/PM.
  • Add Control Value: Select Add to add a control value to the table. Note that Add will be disabled when creating new QC lot control values.
  • Inactivate Control Value: Select Inactivate to open a pop-up that asks the user "You are inactivating the control value for this test, do you wish to use a previous control value, add a new control value, or inactivate all control values for the test?" when it is selected for quantitative control values. If the user selects Use Previous, a pop-up will open containing all of the previous control values for the test, and a new control value will be created with the same settings as the control value that is selected on the pop-up. If the user selects Add New, a new control value will be added for the test, as if Add was selected. If the user selects Inactivate All, all control values for the test on the lot will be inactivated and no longer used for any orders placed for the lot. Inactivate will only be enabled for existing, current, control values on the lot.
  • Reactivate Control Value: Select Reactivate to have all control values for the test be reactivated and a new control value will be created with the settings of the control value that Reactivate was selected for. Reactivate will only be enabled for existing control values on the lot that have been inactivated.


You cannot edit the quantitative control values for a QC lot after it's been ordered. An alert dialog box will display on QC lots that've been previously used explaining that changing it could cause errors. 

Qualitative tab

The Qualitative tab displays the following information:

  • Test: Displays the name of the test.
  • Qualitative Values: Displays the qualitative values for the test.
  • Units: Displays the units of measurement for the test.
  • Mandatory: Select the checkbox to make QC control values mandatory. QC control values that are marked as mandatory will prevent QC orders containing the control value from being approved when the control value's test result is empty if the order choice is set to require all mandatory tests to be resulted before approval.
  • Inactivate Control Value: Select Inactivate to inactivate the control value. If the user selects Inactivate for a qualitative value, it will automatically inactivate the control value for the test, and the test will no longer be used for any orders placed for the lot. Inactivate will only be enabled for existing, current, control values on the lot.
  • Reactivate Control Value: Select Reactivate to have the control value be reactivated. In both cases, the reactivated tests will once again be used on any orders placed for the QC lot. Reactivate will only be enabled for existing control values on the lot that have been inactivated.


Control values are automatically determined to be quantitative or qualitative based upon whether or not the test that they were created from is qualitative or quantitative. If the tests that the control values were created from are changed from qualitative to quantitative, or vice versa, then the Update Tests button on the QC Lot pop-up will be red to indicate that it can be selected to apply updates from the tests to the control values, which will change whether or not the control value is quantitative or qualitative. 

CancelSelect to return to the QC Lots page without saving any changes. 
Save

Select to record changes and return to the QC Lots page.
