Description

The Microbiology Media Setup pop-up is the first stop for a microbiology specimen. The submitted specimen is evaluated for adequacy and put onto various media and/or slides to begin testing. Incubation time starts at the time of setup for all media containers during this step.

This pop-up governs setup documentation within the microbiology department. Once a culture has reached its microbiology testing location, information is reviewed and corrected, if needed. The correct media is applied and set up in the computer, and media labels are issued.

Access

TaskCenter > Manage Testing > Work in Progress > add or edit a microbiology order choice

You will automatically navigate to this pop-up from the Work in Progress page if your microbiology culture does not have a setup date and time.

If the microbiology culture does have a setup date and time, you will automatically navigate to the Microbiology Work Card Pop-up.

Procedures

If multiple selections are made on the Work in Progress page, half with a setup date and time and half without, you will automatically navigate to the Microbiology Media Setup pop-up for those cultures that still need to be set up, leaving off those that have a setup date and time. After the selected cultures are set up, return to the Work in Progress page to select the cultures you want to work up.

Microbiology Batch Processing

To open multiple order choices from the Work in Progress page as a group, you must have the same destination page.

If order choices are selected from the Work in Progress page, with some set up and some not set up, they cannot be opened as a group (the button/action is disabled) because they have different destination pages. To accomplish this:

On the Work in Progress page, select only the cultures that need to be set up.
Select the Bulk Actions menu, then select Open in Series.
The Microbiology Media Setup pop-up opens with the queue populating from the Work in Progress page selection. The cultures can then be set up by the microbiology technician.
After returning to the Work in Progress page, select all previously set up cultures you want to start working up.
Select the Open in Series option to sequence through each culture's Microbiology Work Card Pop-up individually, or select the Open in Batch option to open the Microbiology Batch Workup page.

The ability to enter or manipulate sample types should be facilitated on the Order Entry, Collect Samples, Release Samples, and Microbiology Media Setup pages.

Patient Information

Patient

Displays the patient's name.

Select the patient ID link to access a contextual menu of patient options.

MRN

Displays the patient's medical record number.

DOB

Displays the patient's date of birth.

Age

Displays the patient's age.

Sex

Displays the patient's sex.

Species/Breed

Displays the species and breed of the animal.

This is only available if the veterinary license is enabled.

Owners

Displays the name(s) of the owner(s) of the animal.

This is only available if the veterinary license is enabled.

Sample Information

Sample ID

Displays the sample ID.

Select the sample ID link to access a contextual menu of sample tracking options.

Diagnoses

Displays the diagnosis code.

Order Information

Order ID	Displays the order ID. Select the order ID link to access a contextual menu of order options.
Order Date	Displays the date the order was placed.
Ordering Provider	Displays the ordering provider.
Ordering Location	Displays the ordering location.
Comment bubble icon	Select this icon to open the Comments pop-up to add a comment at the order level.
Document icon	Select this icon to add a document at the patient level, order level, or result level.

Order Choice Information

This section displays information specific to the order choice and allows editing.

Order choice status	Displays the order choice status.
Order choice name	Displays the order choice name.
Action menu	Select this button to view a contextual menu and select an option: Cancel Order Choice: Navigate to the Cancel Order Choice page for the microbiology order choice. Sample Inquiry: Open the Sample Inquiry pop-up for the order choice's sample.
Comment bubble icon	Select this icon to open the Comments pop-up to add a comment at the order choice level.
Document icon	Select this icon to attach a document at the patient level, order level, or result level.

Testing Information

Testing Facility	This drop-down list displays the current testing facility.
Department	This drop-down list displays the department within the testing facility.
Workflow Status	This displays the designated workflow status assigned to those cultures needing to be set up for culture processing.

Specimen Information

Container Type	This field displays the container type the specimen was collected into. This is designated on the order choice build and is not editable.
Sample Type	This drop-down list displays the sample type (source) of the submitted specimen for the order choice. The drop-down list options can be limited to specific samples types if defined on the order choice using facility/department combinations as desired.
Source Site	This drop-down list displays the anatomic site the source was taken from. The drop-down list options can be limited to specific source sites if defined on the order choice using facility/department combinations as desired.
Source Site Modifier	This field displays either a button or a list of modifiers. Button: Select this button to open the Source Site Modifier pop-up. Enter text or select in the search-as-you-type field to select the modifiers to apply. Multiple options can be selected. List: Displays all selected modifiers. Select the blue link to open the Source Site Modifier pop-up.
Collection Date/Time	This field displays the date and time of specimen collection. This is a required field.
Collection Method	This field displays the collection method used to obtain the specimen.
Collected By	This field displays the user who collected the specimen. This is a required field.

Media Information

Setup Date/Time

This field displays the date and time when the specimen was applied to the required media containers and incubation began. This defaults to "now."

Setup By

This field displays the user who set up the specimen on the required media containers. This defaults to the logged-in user.

This is a required field.

Add Media

Enter text in this field to search descriptions and abbreviations designated on all media container records built in the Microbiology Media Container selected on the Tube/Container Type Details page. Select the plus sign to add the media to the table below this field.

Media can be added multiple times to the table: as requested, or if multiple quantities of a single media are defined for the order choice by default.

This is a required field.

Media table

This table has several columns:

Sample ID: Displays the proposed child container IDs with respect to the original sample ID (parent) collected for the order choice.
Abbreviation: Displays the media abbreviation.
Name: Displays the media name.
Sort: Select the arrows to rearrange the order of the media as needed.

Select the gray x button to remove listed media.

Multiple instances of the same media can be added, each with a unique specimen identifier.

There are two ways for media to be added to the list automatically.

The microbiology order choice has the Tube/Container Type column (Collection Information for this Order Choice section on the Order Choices page) set to a container that has the Microbiology Media Container checkbox selected and the Is not a collection container checkbox cleared (Tube or Container Types page). Media added as a collection container cannot be removed.
The microbiology order choice has default media set for the sample type, testing facility, and department (Microbiology Default Media section on the Order Choices page).

Default media can be flexed based on the designated specimen type of an order choice (culture).

You can set separate default media by specimen type for each facility. This allows the system to instantly flex the default media as well as add/remove additional media and make any other necessary changes.

Setup Queue

Select the Setup Queue vertical tab to expand or collapse the information onto the main page. The selected specimen has focus and is currently displayed in the main page to the left. Manually select from the list, or bar code scan, to go straight to a specimen for setup.

This list can be sorted by scanning or selecting from a Work in Progress page order (default) or by selecting the Specimen ID or Order Choice column name.

This collapsible list only appears when multiple microbiology order choices that have not been set up are selected from the Work in Progress page. The queue does not display when only one order choice needs to be set up.

Setting up a culture using the Setup Culture button removes the current order choice from the Setup Queue.

To instigate batch setup, all selected cultures must have the same order choice, facility, department, sample type, and have the same default media setup in order to qualify for that functionality. If there are two samples on the same order choice (e.g., blood culture aerobic and anaerobic bottles), they will appear on a single line with a comma-delimited specimen ID. There can only be one line per valid order choice on the Setup Queue.

Once you have selected your order choices, make your changes in the Specimen Information and Media Information sections to apply the changes to all selected order choices.

When using the Microbiology Media Setup pop-up in batch mode, the entire header is replaced with a sample ID of "MULTIPLE." The Sample Type search-as-you-type field is always enabled. The Source Site search-as-you-type field, Collection Date/Time fields, Collection Method search-as-you-type field, and Collected By search-as-you-type field are disabled and blank if any order choice selected has a different value set.

The Source Site Modifier pop-up is dependent on the source site and the button is disabled if any order choice selected has a different source site set. If the source sites are the same across all selected order choices, the Source Site Modifier pop-up and button are disabled if any order choice selected has a different source site modifier.

The Sample ID column in the Media table displays "MULTIPLE" followed by the ID’s increment.

Select	Select more than one order choice to set up all selected order choices in batch mode. The order choice in focus is selected in this column and cannot be cleared.
Sample ID	This column displays the first sample ID found on the order choice.
Order Choice	Select the order choice link to set the current order choice to the newly selected order choice.
Batch	Select the icon in this column to select/deselect all order choices that can be batched together.

Buttons

Next	Select to advance to the next selected culture when multiple cultures are requested in sequence.
Previous	Select to return to the previously selected culture.
Setup Culture	Select to save changes to the pop-up and to automatically print media labels.
Cancel	Select to remove edits to the setup of the selected culture and to not save any changes.
